What is Microsoft Power Automate?

Microsoft Power Automate (formerly Microsoft Flow) is a cloud platform for process automation and robotic process automation (RPA). It enables creating automated workflows without writing code.

Power Automate offers three flow types: Cloud flows (cloud service automation), Desktop flows (RPA for desktop and web apps) and Business process flows (step-by-step process control in Dataverse/Dynamics 365). AI Builder enables adding machine learning to flows – document recognition, sentiment analysis or form processing.

Who is Power Automate For?

  • Accounting and finance teams – automatic invoice and statement processing
  • HR departments – onboarding workflows, leave approvals
  • IT departments – user provisioning, alerting, incident management
  • Operations – data transfers between ERP, WMS and other systems
  • Sales teams – automatic follow-ups, CRM updates, notifications

Week 2–3
Development & Testing
Flow creation, connector setup, unit tests, edge case scenarios
Week 3–4
UAT & Monitoring
User acceptance testing in production environment, alert and run history setup
Week 4+
Go-live & Documentation
Production deployment, documentation, handover, SLA monitoring

Typical Power Automate Use Cases

Automated Invoice Processing

AI Builder extracts data from PDF invoices, the flow creates an ERP record and triggers an approval process with email notifications.

HR Approval Workflow

Employee submits a request in Teams, flow sends it to the manager, records the decision in SharePoint and notifies HR.

Data Synchronization

A new CRM customer is automatically created in ERP, invoicing and email marketing – without manual re-entry.

Monitoring and Alerting

Power Automate monitors SLAs, order status or sensor values and sends a Teams or SMS alert when a threshold is breached.

FAQ – Power Automate

Cloud flows run in the Microsoft cloud and connect cloud services (SharePoint, Teams, Outlook, Dynamics 365). Desktop flows (RPA) run directly on the computer and automate desktop applications without APIs.

Yes. Desktop flows (Power Automate Desktop) enable full RPA automation – UI app control, Excel, web pages and Win32 applications without needing an API.

Power Automate uses Azure Active Directory, DLP policies for data flow control and audit logs of all runs. Every connector requires IT administrator approval.

Power Automate includes 1,000+ native connectors – Microsoft 365, Azure, SAP, Salesforce, ServiceNow, Jira, Slack and hundreds more. Custom connectors can be built via OpenAPI specification.

A simple flow (e.g. SharePoint notification or approval workflow) can be set up in 1–3 days. Complex RPA scenarios with desktop automation take 2–4 weeks.
